At SurgSource, we are committed to providing reliable, transparent, and professional shipping services for medical equipment purchased through our website. Due to the size, weight, value, and specialized handling requirements of medical equipment, shipping arrangements are determined individually for each order.
1. Shipping Locations
SurgSource offers equipment shipping throughout the continental United States. Shipping to Alaska, Hawaii, U.S. territories, and international destinations may be available upon request and is subject to additional charges, carrier availability, and applicable regulations.
2. Shipping Costs
Shipping costs are calculated separately from equipment purchase prices unless otherwise specified in the product listing or written quotation.
Shipping charges depend on several factors, including:
Equipment dimensions and weight
Delivery destination
Packaging and crating requirements
Freight carrier rates
Insurance and declared equipment value
Special handling or delivery requirements
All shipping charges must be approved by the customer before the order is dispatched.
SurgSource may arrange shipping through commercial freight carriers, specialized medical equipment transport providers, or standard parcel delivery services when appropriate.
Customers may also request to arrange shipping through their preferred carrier, subject to SurgSource approval.
3. Order Processing and Handling
Equipment orders are typically prepared for shipment within 3–7 business days following confirmation of payment and final shipping arrangements.
Larger equipment, specialized packaging, freight coordination, or custom crating may require additional preparation time.
Estimated shipping dates will be communicated to the customer before dispatch. Processing and delivery estimates are not guaranteed.
4. Freight Shipping and Large Equipment
Large medical equipment, including surgical generators, operating room equipment, medical carts, and other oversized items, may require freight transportation.
Depending on the equipment, shipments may require:
Palletization or protective crating
Liftgate delivery
Commercial loading dock access
Inside delivery services
Specialized equipment handling
Customers are responsible for communicating any delivery restrictions or special requirements before shipment.
Additional charges resulting from inaccurate delivery information, unsuccessful delivery attempts, or requested delivery changes may be billed to the customer.
5. Local Pickup and Customer-Arranged Shipping
Local pickup may be available by appointment for eligible equipment.
Customers who prefer to arrange their own transportation must coordinate pickup with SurgSource in advance.
Equipment will not be released until payment has been confirmed and pickup arrangements have been approved.
Customers arranging their own transportation are responsible for carrier selection, transportation charges, and appropriate insurance coverage.
6. Packaging and Equipment Protection
SurgSource takes reasonable precautions to prepare equipment for safe transportation.
Packaging methods are selected based on the equipment's size, weight, condition, and handling requirements.
Whenever appropriate, equipment may be secured using protective wrapping, cushioning materials, pallets, or specialized shipping containers.
Original manufacturer packaging may not be available for pre-owned or refurbished equipment.
7. Shipping Insurance
Shipping insurance or declared-value coverage may be available depending on the carrier and equipment being transported.
Customers are encouraged to request appropriate transportation coverage for high-value medical equipment.
Insurance costs, coverage limitations, and applicable deductibles will be communicated when available.
Carrier liability and insurance coverage are subject to the terms of the selected transportation provider.
8. Delivery Inspection and Damage Claims
Customers should carefully inspect all equipment and packaging upon delivery.
If visible damage is identified:
Document the damage with photographs.
Note any visible damage on the carrier's delivery receipt before signing.
Retain all packaging materials.
Notify SurgSource within 48 hours of delivery.
Provide the order number, photographs, and a description of the damage.
Concealed damage should be reported as soon as it is discovered.
SurgSource will assist customers with applicable carrier claims when SurgSource arranged the shipment. Claim eligibility and deadlines are determined by the carrier's terms.
Reporting damage within 48 hours helps facilitate a timely investigation but does not eliminate any rights available under applicable law.
9. Delivery Delays
Delivery estimates are provided for planning purposes and are not guaranteed.
SurgSource is not responsible for delays caused by circumstances outside its reasonable control, including severe weather, carrier disruptions, transportation restrictions, or other unforeseen events.
We will make reasonable efforts to communicate significant shipping delays and assist customers in obtaining updated delivery information.
10. Equipment Installation and Setup
Unless expressly included in the product listing or purchase agreement, equipment purchases do not include:
Customers are responsible for ensuring that purchased equipment is appropriately inspected, installed, tested, and approved for its intended use before being placed into clinical service.
11. Returns and Refused Shipments
Returns are subject to the SurgSource Return and Refund Policy and any product-specific sales terms.
Customers should not refuse delivery without first contacting SurgSource, except when necessary to document or prevent further damage.
Unauthorized delivery refusals, incorrect shipping information, or customer-requested shipment cancellations may result in additional transportation, storage, or handling charges where permitted by law and the applicable purchase agreement.
